GetLeads API key

The portal uses this key to search GetLeads for everyone. Salespeople never see it. Find your key in your GetLeads account. It starts with glb_live_.

Claude API key for AI Smart Search

Lets salespeople type who they want to find in plain English (e.g. "CFOs at IT consulting firms in Iowa") and have the filters filled in for them. Create a key at console.anthropic.com. It starts with sk-ant-. Each AI search costs roughly 1–3 US cents on your Anthropic account and uses no GetLeads credits.

Email via Mailtrap

Sends invites, password reset links, a morning email of each person's due follow-ups, "Save all" notices, a Monday summary for admins, and alerts when GetLeads credits run low. Only to your own team; Mailtrap doesn't allow cold email to leads.

How to use the Lead Portal

Everything you need to find leads, keep them organised and track your progress.

1. Getting started

  1. Sign in with the email and password your admin gave you.
  2. Change your password: click your name in the top right, enter your current password and a new one (at least 8 characters), then click Change password.
  3. The grey badge at the top right (for example 30 / 100 credits used today) shows how many GetLeads credits you've used today and your daily limit. It resets every day at midnight UTC.
  4. To sign out, click your name and then Sign out.
  5. Forgot your password? Click Forgot password? on the sign-in page and we'll email you a link to choose a new one (it works once and expires in an hour).
  6. Morning follow-up email: on days you have follow-ups due, you get an email listing them. To turn it off or on, click your name and use Email me my follow-ups each morning.

2. Finding new leads

Go to Find leads. Filters are on the left, results on the right.

✦ AI Smart Search (if your admin has turned it on)

Type who you want to find in plain English in the bar above the results, e.g. "CFOs at IT consulting companies in Iowa with an email", and click Fill filters. The filters are filled in for you and you see how many people match, for free. Check the filters, adjust anything that's off, then click Search. Nothing is searched or charged until you click Search.

  1. Add filters. Type in a box and press Enter to add it as a tag. Add as many tags as you like; click × on a tag to remove it.
    • First name / Last name: to find a specific person. Their name on its own, or with Company name, is fastest; adding location filters can make GetLeads slow.
    • Job title: e.g. CEO, VP Sales. Short forms work too: "CTO" also finds "Chief Technology Officer". Several titles mean "any of these".
    • Seniority, Country, Industry, Employee count: start typing and pick from the suggestions. If your admin has limited you to certain countries, you'll see "You can search in: …" under Country, and searches stay inside those countries.
    • State / province: pick from the list, e.g. Minnesota or Ontario. Use the full name; "MN" or "CA" won't work. If you type a state into City by mistake, it's moved to State for you.
    • City: needs the exact city name, e.g. Chicago or Greater London. City searches are slow, so combine City with Industry or Seniority. If you get a "took too long" message, remove City.
    • Company name: part of the name is enough, e.g. Technipaq.
    • Company website and Exclude companies: by domain, e.g. acme.com. Use Exclude for competitors or existing customers.
    • Has work email / Has mobile number: only show people you can actually contact.
  2. Click Search (or press Enter in an empty filter box). You'll see how many profiles match and the first page of people, with their email and phone hidden.
  3. Click Reveal contact on anyone you want. Their email and phone appear and they're added to My leads, which makes them yours.
  4. To take several at once, tick the boxes on the left (or tick All for the whole page) and click Reveal selected.
  5. Use ‹ › at the top right to move between pages, and the number box to show 10, 25 or 50 people per page.
  6. Save all matches: to take many people at once (up to 1,000), click Save all matches, choose how many, and click Start saving. It runs in the background, so you can keep working, and a banner shows when it's done. Running it again on the same search carries on with the next people, so nobody is paid for twice.
Credits: please read
  • Opening a new page of results uses 1 GetLeads credit per person shown, so a page of 10 uses 10 credits. The message above the results tells you when a page used credits.
  • Pages anyone on the team has opened in the last 7 days are free to open again.
  • Revealing is free. Once a page is open, reveal as many people on it as you like.
  • Click Search only once your filters are right. Use 10 per page unless you really need more.
Good to know
  • Every lead belongs to one salesperson only. People a teammate has already revealed show Claimed by (name) and can't be revealed again.
  • A green ✓ next to an email means it's verified.
  • "No one matches these filters" means your filters are too narrow. Remove one or two and search again.

3. Working your leads

Go to My leads. Only you can see your leads; your admin can see everyone's.

  • Status tabs along the top filter the list (New, Contacted, and so on). The number shows how many leads are in each.
  • Search box: find a lead by name, email, company or job title.
  • Follow-ups due: tick this to see only leads whose follow-up date is today or earlier. Overdue dates show in red.
  • Quick status change: change the status dropdown in the table row and it saves straight away.
  • Open a lead (the Open button) to see all their details: email, phone, LinkedIn, company website, industry and location. There you can:
    • change the status,
    • set the next follow-up date,
    • write notes (call notes, objections, next steps),
    then click Save. The History at the bottom shows every change and who made it.
  • Export CSV downloads the leads you're looking at (with your current filters) for Excel, Google Sheets or your email tool.

4. What each status means

NewJust revealed. You haven't contacted them yet.
ContactedYou've reached out (email, call or LinkedIn) but haven't heard back.
RepliedThey responded, whether positive or not.
Meeting BookedA call or demo is scheduled.
QualifiedThey have a real need, budget and interest: an active opportunity.
WonThey became a customer.
LostNot interested, not a fit, or unreachable. Add a note saying why.

5. Tips and good habits

  • Reveal only what you can work. Revealing 25 leads you'll contact this week beats revealing 200 that sit untouched. Leads you own stay off-limits to teammates.
  • Update the status the same day you contact someone, so your numbers on the dashboard stay accurate.
  • Always set a follow-up date after contacting someone, then start each day with the Follow-ups due filter.
  • Write short notes after every call. If a lead is ever handed to a teammate, they'll know the full story.
  • Prefer leads with a VALID email. The email in a lead's details is marked VALID (verified) or CATCH_ALL (the company accepts all addresses, so it can't be confirmed).

6. Common questions

It says I've reached my daily limit.
You've used your daily credits for opening new result pages. It resets at midnight UTC. You can still open pages your team has already viewed and reveal people on them. Ask your admin if you need a higher limit.
My search returned 0 matches.
Your filters are too narrow. Remove one at a time and click Check matches again. City needs the exact name; job titles match whole words.
Why can't I reveal some people?
A teammate already revealed them; it says Claimed by (name). Each person belongs to one salesperson. Ask your admin if a lead should be moved to you.
It says I'm "#3 in line".
Lots of people are searching at the same moment. The portal sends searches to GetLeads in turn so nobody gets an error. Just wait; it moves quickly.
Can I delete a lead?
No. Mark it Lost with a note instead, so nobody reveals and contacts that person again.
Can I give a lead to a teammate?
Ask your admin. They can reassign any lead.
I forgot my password.
Click Forgot password? on the sign-in page. If you don't see that link, ask your admin to reset it for you.

7. Admin guide

Connecting GetLeads (first-time setup)

  1. Copy your API key from your GetLeads account. It starts with glb_live_.
  2. Go to Settings, paste it into New API key and click Save key.
  3. The portal checks the key with GetLeads before saving it. Once saved, the yellow demo banner disappears and searches return real leads.

Turning on AI Smart Search (optional)

  1. Create a Claude API key at console.anthropic.com (it starts with sk-ant-).
  2. In Settings, paste it under Claude API key and click Save key. The smart search bar appears for everyone.
  3. Each AI search costs roughly 1–3 US cents on your Anthropic account. It never uses GetLeads credits. Remove the key to turn the feature off.

Use Test connection any time to check the key still works. To switch keys, save the new one; it replaces the old one. Salespeople never see the key.

Setting up email (optional, via Mailtrap)

  1. In Mailtrap, verify your sending domain (Sending Domains), then copy the API token from the domain's Integration → API tab.
  2. In Settings → Email, paste the token, set the From address (on that domain), the portal's web address, and the morning email time. Click Save, then Send me a test email.
  3. Once it works, the portal emails invites and password resets, each person's due follow-ups every morning, "Save all" results, a Monday summary for admins, and alerts when GetLeads credits run low or the GetLeads key stops working.
  4. Recent emails in Settings shows everything sent, and why anything failed.

To try it safely first, tick Sandbox mode and use your Mailtrap Sandbox token and inbox ID: emails then only appear in your Mailtrap Sandbox. Email is only for your own team; Mailtrap doesn't allow cold emailing leads.

Adding and managing people

  1. Go to Team and click Add person.
  2. Enter their name, work email and a starting password, pick Sales rep or Admin, and set a daily credit limit: how many GetLeads credits they can spend per day opening new result pages (0 = unlimited). Revealing contacts is free.
  3. If email is set up, leave Email them an invite ticked: they get an email to choose their own password. Otherwise, send them the portal link, their email and password, and ask them to change the password after signing in.
  • Edit a person to rename them, change their role or limit, or set a new password (this signs them out). With email set up you can also Email a password reset link or Send the invite again.
  • Someone leaving? Untick Active to block their sign-in immediately. Their leads stay in the system. Reassign them from All leads.

Limiting people to certain countries

On Team, click Edit next to a person and fill in Allowed countries, e.g. United States, Canada. They can then only search, count and "Save all" in those countries; a search with no country is limited to them automatically, and AI Smart Search leaves other countries out. Leave it empty to allow every country. The Team table shows each person's countries.

Reassigning leads

In All leads, use the All reps dropdown to view one person's leads, open a lead, change Owner, and click Save. The change is recorded in the lead's history.

Dashboard

  • Leads per rep by status: click a name to jump to their leads.
  • Open leads untouched 14+ days: leads that aren't Won or Lost and haven't been updated in two weeks. A good thing to review in team meetings.
  • GetLeads allowance: how much of the company's GetLeads quota is left today.
